The INSPIRY X BETA venue is equipped with ramps and service elevators, in the event additional accommodations are required, INSPIRY X staff will assist as able. Special accommodations for viewing during the Main Event on Saturday will be provided.

Adult Content Policy

Nudity is strictly PROHIBITED without exception at ALL INSPIRY X conventions and or special events. Overtly sexualized products are not welcome at INSPIRY X conventions and or special events. INSPIRY X is a family friendly event that will have minors as customers and guests within the audience. INSPIRY X reserves the right to refuse service, revoke convention and or special event access, terminate exhibits, commissions and or service contracts as deemed necessary for violation of the Adult Content Policy. Final determination will be made by the INSPIRY X CEO and or owners as necessary.

All Vendors Policy

All artists, vendors and exhibitors are responsible for obtaining liability insurance and reporting of sales tax to the State of Mississippi. INSPIRY X is not responsible for sales tax incurred by artists, vendors or exhibitors conducting commercial activities. All artists, vendors and exhibitors are responsible for securing their merchandise, storage of supplies and maintaining the cleanliness of their booth area. All artists, vendors and exhibitors are responsible for meeting the unloading and loading dock scheduled times. All artists, vendors and exhibitors are required to be in-place, ready to conduct business at the beginning of the event until the ending of each business day. The event will start on-time regardless of artist, vendor or exhibitor readiness. Early teardown is not authorized as it negatively impacts surrounding businesses by prematurely signaling the end of the business day. In the event of personal emergency, INSPIRY X reserves the right to make exceptions on a case-by-case basis, non-compliance will result in a permanent ban from all future INSPIRY X conventions and special events. Artists, vendors and exhibitors who “No-Show” or cancel after the 30 day non-refundable cut off period for ticket sales will incur a fine of no less than the total value of the rental booth space as advertised. INSPIRY X honors its commitments and expects the same from the artists, vendors and exhibitors who choose to do business with us.

Artificial Intelligence Policy

AI is strictly PROHIBITED as the final form entry in any INSPIRY X competition. AI may be used to facilitate the initial concept and or brain storming phase of the design but must be clearly identified and documented in the Build Book submission and show progression from concept to original idea. (We understand the issues and feelings, both pro and anti-AI, surrounding the use of AI, however there is no realistic way for us to accurately screen AI in relation to our cosplay/costuming events. However, through our commissioning prize process and terms of service, we are fully prepared to legally respond to competitors who misrepresent their use of AI or fail to include their use of it in their entry. Our AI policy is intentionally broad and flexible to allow us to adapt and respond to advancements in AI technology. We encourage creators to use their imagination to the fullest extent possible.

INSPIRY X will not invest or commission any work of art that is not owned with copyright by the creator in its entirety. AI is currently not recognized by United States Federal Law for copyright protections without significant human modifications under very specific conditions.

AI created products are PROHIBITED from commercial sales from artists, vendors, and or exhibitors at ALL INSPIRY X conventions and or special events. Businesses that misrepresent their artwork, products and or services will be removed from the event without refund and will constitute a breach of contract resulting in subsequent banning from ALL future INSPIRY X conventions and or special events.

Furthermore, if the offending business is an INSPIRY X Partner, their partnership status and contract will be voided and they will be fined the full cost of the convention individual vendor rental space price as a result of breach in the INSPIRY X Terms of Service.

Competitors that intentionally misrepresent their submissions for the purpose to deceive the judging process, will be banned from ALL future INSPIRY X conventions and or special events. If a competitor was awarded a commission, it will be terminated and INSPIRY X will take immediate legal or arbitration actions for damages equivalent to the total commission value or as applicable in a court of law as a result of losses in public trust and damages to consumer confidence in the INSPIRY X brand.

INSPIRY X will continue to closely monitor the development of emerging AI technologies and regulations in the art space and community. INSPIRY X reserves the right to update this policy in keeping with the rapid development of AI technology.

BETA Venue Parking

INSPIRY X BETA venue parking is available on-site for free to INSPIRY X customers and guests. Disabled parking is limited. INSPIRY X encourages the use of drop-off services and car pooling.

Cancellation Policy

All sales are final 30 days before the scheduled event start date. In the event of severe weather with potential to produce tornadoes or hurricanes, INSPIRY X will take into consideration road conditions, high wind advisories that may close bridges, storm surge and other warnings from state officials and emergency response agencies to determine cancellation of the convention no later 72 hours from the time of estimated landfall or severe weather band passover. In the event of cancellation, all tickets, badges and passes will be refunded through the third party event ticketing service provider. General refunds must be requested no later than 30 days prior to the scheduled event start date directly through the third party ticketing service provider. INSPIRY X recommends customers consider travel insurance services.

Code of Conduct Policy

The INSPIRY X Code of Conduct is rooted in our principals of treating every customer, guest, INSPIRY X staff member, volunteer, venue staff, law enforcement representative, custodial worker and other contracted service providers with Dignity and Respect. All attendees, speakers, sponsors, media and staff must conduct themselves with a high level of decorum and professionalism. INSPIRY X reserves the right to revoke, without refund, the event ticket, pass or badge, and the right to participate of any attendee in violation of any of our Policies and or Terms of Service.

Commerce Policy

All commercial activity at INSPIRY X conventions and special events must be in the form of registered and insured artists, vendors and or exhibitors. Non-registered commercial activity is strictly PROHIBITED. Kink, fetish and punishment commercial activity such as “Human chair”, “Stand on Me”, “Foot Juice”, and other forms of pay for physical contact activities are strictly PROHIBITED, violators will have their event access revoked without refund and will be escorted out of the venue and off the venue private property with or without the assistance of INSPIRY X security and or local Law Enforcement Officers. Commercial activity is PROHIBITED outside of the event space while on the venue private property.

Competition Eligibility Policy

All INSPIRY X conventions are private and ticketed, a valid ticket, badge or pass is required for entry to the conventions. INSPIRY X conventions contain competitive events with commission prizes and are expressly identified as competitive events with commissions as advertised. These competitions are free to enter for all INSPIRY X customers with valid event entry. Competitors must be present for both the prejudging and if selected, the finals. Competitors must be able to accept the INSPIRY X Terms of Service Agreement and be able to receive an electronic banking deposit to a direct banking account owned by the competitor. In the event the competitor does not have a banking account, INSPIRY X will delay the commission prize until an account can be established, not to exceed 180 days. If the competitor is unable to establish a means of which to receive the commission, the commission will default to the runner-up competitor and be reissued. The original winner will receive two VIP passes to the next INSPIRY X convention and be offered the same commercial use exhibitor benefits as originally intended. INSPIRY X will make reasonable accommodations to achieve the intended use of the commission.

Competitor Registration Policy

ALL competitors are required to register to participate in ALL INSPIRY X competitions. Required registration information includes but is not limited to; full legal name, legal age, contact phone number, emergency contact name and phone number, email address, desired social media accounts for tags and mentions, Build Book submission, acknowledgment of the rules, guidelines, terms of service, artificial intelligence policy, opt-in or opt-out of photo & video reviews of competition submissions, competitor terms of service, and if required, parental or legal guardian consent & co-sign. Competitor Terms of Service Policy

MANDATORY; acknowledgment of the competition rules and guidelines and or Terms of Service. ALL competitors must accept or decline photo and or video recording during pre-judging and the main event. Competitors that decline and are selected for the main event, will be positioned at the end of the line-up to reduce interruptions in recording during the event. Recording of the event will continue, however any footage gathered by INSPIRY X or contracted media service providers, of competitors who opted out will not be published or used in reviews post convention. Competitors must accept or decline use of the pre-judging photography and or videography to be used during the main event and in the post event activities to include; judge review panels, cosplay reviews, social media content, monetized content such as YouTube, and advertisements of the competitor’s social media accounts, websites or other commercial platforms. Competitors must accept or decline the use of submitted contestant materials such as the Build book submission for the purposes of promoting, advertising, highlighting competitor’s website and social media content for publication on INSPIRY X social media accounts. INSPIRY X will NOT reproduce any submission for the purposes of commercial activity without consent. INSPIRY X will coordinate to the fullest extent possible with competitors for awareness and as necessary, usage permissions from the competitor to utilize these materials. Competitors must disclose the use of AI in their work and appropriately record the progression from AI concept to original design in the BluePrint. Failure to do so is a breach of the INSPIRY X Terms of Service.

Competitor Build Book Policy

The purpose of the Build Book is to prove authenticity of the submission created by the competitor. The Build Book will also be used to highlight any special requirements such as the “mechanism”, from the main event PROVENANCE. It will also clearly identify any piece of the submission not created by the competitor, whether it was purchased, gifted, commissioned, or downloaded as a printable template. If a portion of the item was modified from a pre-existing template then the template must be identified in the Build Book. Competitors should use the Build Book to highlight parts of the submission that were challenging to complete or represent a significant personal achievement. The Build Book should include a front facing full body view, rear view, left and right side views, and must be void of any business logos or sponsorships with the exception of the contestant’s own personal business branding. The Build Book may not exceed 12 pages in total. A Build Book is required for ALL INSPIRY X competitive events with the exception of INSPIRY X ODYSSEY.

Competitors must review the Safety and Emergency Evacuation procedures during the main event. This information will be provided before the event.

Competitors will not create or contribute to any situations that may directly cause or indirectly cause bodily harm to spectators along the runway. Competitors will not swing objects or perform acrobatics along the runway. For the protection and safety of small children, contestants are PROHIBITED from running along the main event runway route. Competitors will obey commands from INSPIRY X staff and designated safety personnel stationed along the runway.

Data Collection & Use Policy

INSPIRY X will collect voluntary non-personally identifiable information (PII) for the express purposes of improving event programming, marketing strategies, social media advertising, sponsorship impact reports and economic impact reports. Information may include approximate age ranges of guests, areas of interest such as 3D printing, cinema, cosplay, products and services, self-publishing and other forms of visual media to include small business areas of interest. Dress Code & Cosplay Policy

Customers, competitors, staff and guests of INSPIRY X are required to be appropriately dressed and compliant with local state, city and county ordinances concerning public decency, dress codes and codes of conduct. INSPIRY X is a family friendly event, as such the following additional clothing and or attire are strictly PROHIBITED at all INSPIRY X conventions and events: bikinis, micro bikinis, sexualized latex bodysuits designed to reveal or draw attention to genitalia or that are designed for activities intended for sexual purposes, nipple coverings used as the sole attire of the chest area, body paint used as the sole attire for the chest or genitalia, sheer clothing used as covering of the chest or groin, thongs worn as the sole groin covering, shorts and pants designed to deliberately draw attention to the groin or buttocks for the purpose of highlighting sexuality. INSPIRY X reserves the right to allow individuals in violation of the dress code to change, cover up, or otherwise become compliant with the Dress Code & Cosplay Policy. If the individual refuses to correct the violation then their event ticket, pass or badge, regardless of the access level or value, will be voided and the individual will be escorted out of the INSPIRY X event and off the venue private property with or without the assistance of INSPIRY X Security and or local Law Enforcement Officers.

Emergency Life Saving Care Policy

By attending an INSPIRY X convention or special event, you agree to and authorize INSPIRY X designated medical staff, venue medical staff, law enforcement, first responders and trained federal and or state workers to provide immediate life saving care to you to prevent loss of life. Such life saving actions may include, CPR, application of an Automated External Defibrillator AED, Windlass Tourniquet, medical gauze or pressure bandages. Furthermore, you agree to a search of your possessions and or persons for life saving allergy medications or Auto Injectors and also the application of such medicines. In the event of an act of terrorism, you authorize INSPIRY X designated medical staff, venue medical staff, law enforcement, first responders and trained federal/state workers to provide life saving medical response actions and evacuation efforts which may include lifting, carrying, shielding, or otherwise moving you to safety for emergency medical care. INSPIRY X recommends all guests carry a form of identification while attending any INSPIRY X convention or special event.

Fan Art & Copyright Policy

Artists, vendors, and exhibitors are required to adhere to all copyright laws while conducting official commercial business at ALL INSPIRY X conventions and or special events. INSPIRY X is an original content focused event and will give priority to artists, vendors and exhibitors that promote, produce or encourage the production of original artwork and will have first priority during the selection process. Artists, vendors, and or exhibitors must obtain the appropriate usage rights and or licenses to sell copyrighted intellectual properties at all INSPIRY X conventions and or special events. INSPIRY X will gradually reduce the amount of allowed fan art in the Artist Market until we reach our goal of 100% original content in a controlled phase down over a predetermined period of time to allow artists, vendors and exhibitors to adjust to the business model of INSPIRY X.

Food & Beverage Policy

INSPIRY X will comply with all venue food and beverage policies. INSPIRY X is not directly involved with contracted venue food service operations, planning or pricing. All food vending services provided by the venue are the responsibility of the venue. INSPIRY X does not receive any portion of the food vending profits from venue food sales.

Grant of Access and Usage Rights

INSPIRY X grants to you a limited, revocable, non-exclusive, non-transferable, right to access and use the services solely for your own internal, personal, and or non-commercial purposes. INSPIRY X content, digital products, and intellectual properties may not be used for commercial purposes without prior written consent by INSPIRY X. INSPIRY X reserves all rights not otherwise expressly granted by this agreement, Terms of Service or Privacy Policy. If you chose not to comply with this agreement, INSPIRY X reserves the right to revoke any license granted in this agreement and terminate or limit your access to INSPIRY X services and or content. Any use of the services that exceeds the rights expressly granted in this agreement are strictly prohibited and constitutes a violation of this agreement. You are not acquiring any rights in or to the INSPIRY X materials other than a non-exclusive right to access and use the services solely in accordance with the terms of this agreement.

Restrictions - You may not license, sublicense, sell, resell, transfer, assign, distribute, or otherwise commercially exploit or make available to any third party any portion of the services in any way, modify, adapt, alter, impede, or use the services or any INSPIRY X materials to develop a competing service or product.

INSPIRY X does not consent to data mining or extraction for use in the training of artificial intelligence, large language models, machine learning, or similar applications without INSPIRY X’s express prior written consent. INSPIRY X materials and or content is prohibited from being used to create, participate or otherwise endorse hate speech, discrimination, harassment, or any other malicious or unlawful activity, or any other manner that may be considered harmful to INSPIRY X, its customers, sponsors, partners, artists, vendors, exhibitors and or any third party service contracted by INSPIRY X. INSPIRY X reserves the right to investigate and bring forth legal response to violations of any of the above to the fullest extent of the law and retains the right to enforce arbitration provisions enclosed in these Terms of Service. INSPIRY X may involve and cooperate with law enforcement authorities in prosecuting users who violate this agreement.

Harassment Policy

INSPIRY X will not tolerate sexual harassment, verbal or physical harassment, threats or acts of violence, and or acts of bullying at INSPIRY X conventions, special events or on its social media accounts. If necessary, INSPIRY X staff will involve local Law Enforcement Officers and or State or Federal agencies. Violators who refuse to follow the no harassment policy will have their entry ticket, badge or pass, regardless of its level of access or value, voided and will be escorted out of the event and off the venue private property. INSPIRY X will cooperate with all law enforcement agencies to provide video, photos, and witness statements without delay. INSPIRY X reserves the right to support or directly engage in legal actions against the offender as applicable by a court of law should the situation require such actions.

Hold Harmless Policy

INSPIRY X conventions are host to several competitions that require a physical representation of a concept, idea or story. All INSPIRY X competitive events are non-contact based and do not require physical capabilities beyond comfortable walking or assisted forms of motion for participants with limiting physical medical needs. All INSPIRY X competitive events are held at ground level and do not require physical ability to navigate obstacles as all pathways will be clearly marked, unobstructed and monitored by safety staff of INSPIRY X. Risk of injury to participants traversing the INSPIRY X competition runways is low, however, not impossible. All competitors are required to maintain situational awareness of their surroundings while traversing the INSPIRY X runway.

Minors: By attending or participating in INSPIRY X competitive events, the Parent or Legal Guardian is aware of the potential dangers, while minimal to the nature of INSPIRY X events and activities, allows their minor child to engage in it regardless of the danger. By signing a consent waiver during registration for any INSPIRY X competition or activity, you the parent or legal guardian of the minor, are releasing your right, and your child’s right, to sue INSPIRY X for damages caused by your willful and knowing participation. INSPIRY X cannot reasonably predict unexpected acts of violence, terrorism or accidental injury caused by other event guests or participants. Parents and or legal guardians are required to maintain situational awareness for the safety of the minors under their care.

Hygiene Policy

Cosplay by its nature is a heat producing activity, sweating is expected. INSPIRY X conventions feature multiple competitions that may cause an individual to perspire more than typical which may result in excess bodily odor. INSPIRY X will make reasonable accommodations to control ambient temperatures within the venue and is intentionally scheduled during cooler months to assist with lowering body temperatures for a more comfortable cosplay experience. Additionally, INSPIRY X reserves the right to establish and maintain controlled temperature zones or “Cool Down”, stations within the venue to reduce the risk of heat related injuries and other heat related illnesses and or exhaustion. The health and safety of our customers is a non-negotiable priority for INSPIRY X.

INSPIRY X Copyright and Limited License Policy

Except as otherwise identified or labeled, the INSPIRY X website and all content to include other materials on the site, without limitation to all trademarks, service marks, texts, graphics, photographs, video files, downloadable documents and audio files, registration forms, and other digital products, are the proprietary and intellectual property of INSPIRY X or INSPIRY X licensors and are protected by U.S. and International copyright, trademark, and other intellectual property protection laws as applicable. Permission is granted to access and use the INSPIRY X website only in accordance with these Terms of Service and the INSPIRY X Privacy Policy, contained within the INSPIRY X website. You may only use the site materials for your personal, non-commercial use. In addition, you agree that such permission does not include: any resale or redistribution of the INSPIRY X website, materials, public performance or public display of any portion thereof. Copying or otherwise using any trademark or service mark on the INSPIRY X website, in whole or in part, without the prior written permission of INSPIRY X or the applicable trademark holder; or any use other than for its intended purpose, is strictly prohibited. The permissions granted herein are revocable at any time, with or without cause, as determined by the INSPIRY X Owners, CEO, Data Protection Officer or INSPIRY X service staff.

Any permission(s) given to you, terminate automatically if you breach any of the INSPIRY X Terms of Service, INSPIRY X Privacy Policy, or for any other reason determined intentionally adverse to the business practices of INSPIRY X, its sponsors, partners, artists, vendors, exhibitors or service providers, not withstanding public review of our products and or services. You may not “mirror” any material contained on this site on any server. Any unauthorized use of INSPIRY X website material may violate applicable law(s) and INSPIRY X reserves the right to forego arbitration and pursue immediate legal response as applicable.

Judging Policy

Registration: All competitors must register to compete in any INSPIRY X competitive event and or special event. Unregistered contestant entries will not be judged or considered.

Prejudging: All competitors must be able to see through any masks or helmets and be able to traverse the runway unassisted with the exception of competitors with limiting physical disabilities that require the assistance of a care taker or medical assistant. Competitors who require physical assistance due to medical reasons may do so and do not require any prior coordination with INSPIRY X staff on the condition that the assistant is able to traverse the runway and monitor the health and safety of the competitor. The assistant must wear an unmarked black shirt and black pants of any material in compliance with the INSPIRY X dress code. The purpose is to not draw attention away from the competitor. INSPIRY X reserves the right to intervene and provide additional assistance if it is deemed necessary as a precaution or in response to the competitor experiencing adverse difficulties not addressed by the caretaker or assistant. If deemed necessary the competitor will be held last in the lineup as to proceed at a safe and comfortable pace through the runway. INSPIRY X will prioritize the competitors safety and well-being over any other consideration and may choose to modify their presentation if it is deemed unsafe or presents an adverse health risk to complete the full runway path.

Judging Results Policy

INSPIRY X will conduct pre-judging for all competitive events on Friday before the main event PROVENANCE, on Saturday. Finalists will be announced Friday evening and all event winners will be announced on Saturday as scheduled. Due to the volume of entries, competitors will not receive immediate live one-on-one feedback from judges directly. Competitor highlights will be provided through the official INSPIRY X Youtube channel, newsletter and digital magazine. During registration, competitors will be able to opt-out of the highlights review. Individual itemized scores will not be released, in-lieu of this, an approximation or average of score groupings will be released to provide insight into which scoring categories were determined to be the most influential during judging. Score tallying will take place in a designated room restricted to INSPIRY X Staff and judges. ALL Cell phones will be secured in an exterior locker system outside of the judging room. All results are final, judges will not rescore or reconsider initial assessments after scoring has been completed. Judges will not debate scores with contestants or rescore any submissions.

Law and Arbitration

Governing Law and Actionable Time Periods - The INSPIRY X Terms of Service are governed by the laws of the state of Mississippi, without regard to its conflicts of law principles as applicable. Any cause of action or claim you may have arising out of or relating to the subject matter and or content of these Terms of Service or usage policies regardless of whether such causes of action are based upon claims of contract, negligence, defamation, invasion of privacy, tort, or statute, must be commenced within one (1) year after the cause of action, otherwise, such action or claim is permanently barred and dissolved.

Arbitration - INSPIRY X conducts business in good faith and holds its operations to a higher standard of customer service. INSPIRY X expects all parties who conduct business with the company to display an equal commitment to enter into contracts and provide services in good faith. In the event of a dispute, claim, question, or disagreement that cannot be resolved with two party mediation, relating to the subject matter and or content of these Terms of Service or the usage policies directly through good faith negotiations, which shall be a precondition to either party initiating arbitration, both parties in dispute agree to and will enter into binding arbitration and be fiscally responsible for their own expenses during the arbitration process to include fees, travel, lodging, insurance and meals. In accordance with this Law and Arbitration section, and the American Arbitration Association Consumer Arbitration organization, both parties agree to one commercial arbitrator with substantial experience in resolving commercial contract disputes. The arbitrator, INSPIRY X, and you will maintain the confidentiality of the arbitration proceedings, judgements and awards, including, but not limited to, all information gathered, prepared and presented for purposes of the arbitration or related to the disputes therein until such time when arbitration is completed and awarded. INSPIRY X will maintain a publicly available record of the proceedings and outcome to be maintained for (1) one year. Additionally, you acknowledge that there is no judge or jury in arbitration. The arbitrator will conduct hearings as required or needed, by personal appearances as required or needed. The arbitrator’s decision will be final and binding. The award rendered by the arbitrator may be confirmed and or enforced in any court having jurisdiction thereof. Any additional fees or expenses incurred by court enforcement will be the responsibility of each individual party.

BY ENTERING INTO AN AGREEMENT WITH INSPIRY X OR BY ATTENDING ONE OF ITS EVENTS, YOU ARE SPECIFICALLY AUTHORIZING AND ENTERING INTO THIS ARBITRATION PROVISION.

Class Action Waiver - You agree that any arbitration will take place on an individual basis between you and INSPIRY X. You further acknowledge and agree that (a.) class arbitrations and class actions are not permitted, and (b.) you are giving up the ability to participate in any class action. In any case in which a dispute is filed as a class, collective, or representative action, and there is a final judicial determination that all or part of this class action waiver is unenforceable, then the class, collective, or representative action, to that extent, must be litigated in a civil court of competent jurisdiction pursuant to these Terms of Service, but the portion of such class action waiver that is enforceable shall be enforced in arbitration.

In any circumstances where the foregoing arbitration provisions are deemed unenforceable or are inapplicable, then disputes or claims arising out of or relating to the subject matter and or content of these Terms of Service or the usage policies shall be subject to the exclusive and mandatory jurisdiction of either state or federal courts located in the state of MISSISSIPPI.

Each party irrevocably and unconditionally agrees to the exclusive and mandatory jurisdiction of such courts and waives any objection to such courts based on venue or inconvenience and furthermore waives any right to trial by jury. Each party is responsible for their own expenses related to these legal proceedings.

Links & Third Party Materials

The services provided by INSPIRY X may include links to other websites or resources on the internet. INSPIRY X does not control or influence the Terms of Service and or Privacy Policies governing third party websites and or businesses, legal entities or profiles. While this information is provided for your benefit we strongly encourage you to throughly read the Terms of Service and Privacy Policy agreements of any linked third party websites.

MEDIA Policy

INSPIRY X events are private and require ticketed, pass or badged access and take place on venue private property. All Media regardless of origin, status or operation must register with INSPIRY X to conduct official media activities. Media passes are not entry passes to INSPIRY X events, Media must still possess a valid ticket, pass or badge to enter INSPIRY X conventions, competitions and special events. Media activities are PROHIBITED in the judging room and designated VIP guest areas. Requests for interviews must be received by INSPIRY X staff no later than five business days prior to the event. Media activity during PROVENANCE is restricted to the designated Media zones to ensure unobstructed views of competitors for the audience. All Media registration requests require photocopy of the Media agent or employee identification card or credentials of the Media representative responsible for the actual reporting, videography, and photography. A letter of intent to publish from an established publishing or News Media Agency or company with an estimated publishing date, and the location of where the content will be published to facilitate INSPIRY X sharing the content with its audience. INSPIRY X reserves the right to revoke any Media pass if the Media representative is in violation of the venue policies, Code of Conduct or INSPIRY X Terms of Service, Media Policy or Privacy Policy.

All registered Media representatives are required to ask permission to film INSPIRY X customers, guests, staff, contestants, artists, vendors and exhibitors if they are directly the subject of the photography and or videography. Non-registered Independent Media conducting official business at INSPIRY X events will be given an opportunity to register on-site; refusal to register will result in being expelled from the event without refund.

Any customer, guest, staff member, artist, vendor, exhibitor or Media entity creating or contributing to an act of harassment or expressed unwanted photography or videography will be expelled from the event with or without the assistance of INSPIRY X security and or local Law Enforcement Officers.

INSPIRY X has established reasonable protection standards for its customers, guests, staff members, artists, vendors and exhibitors while conducting official business during INSPIRY X conventions and special events, as it pertains to the acts of photography and videography. INSPIRY X is not responsible for Media activities, end products, advertisements, social media content and or behavior of non-INSPIRY X Media staff or contracted service providers. INSPIRY X expects all Media to act with professionalism and courtesy in compliance with all venue and INSPIRY X Code of Conduct and policies.

All Media entities are required and responsible to obtain parental consent and or legal guardian consent to photograph and or video record minors at INSPIRY X conventions and special events, under the age of 18 years old. INSPIRY X will act swiftly without delay to ensure the safety of minors at our conventions and special events.

Media registration will include:

• Company name and owner name

• Phone number

• Email address

• Mailing address

• Official website

• Official social media channels

• Intended use of content gathered (commercial use, news reporting, social media content, advertising or marketing)

• Full name of Media representative attending the event with the intent to perform official Media activities.

• Emergency contact

Medical Accommodation & Nursing Infants Policy

INSPIRY X customers, guests, and staff requiring temperature controlled medications such as Insulin may bring a small cooler or temperature controlled bag no larger than 8 inches tall by 8 inches wide, into the INSPIRY X convention and or special event. Nursing parents may utilize the same exemption. Foods other than nursing milk and or premixed or non-mixed powdered formula are PROHIBITED. All medications must be clearly labeled and not loose in unmarked plastic bags or bottles. All bags are subject to security screening. Nursing mothers are requested to wear a covering while breast feeding infants in public due to the high volume of under age minors from different religious and cultural backgrounds at INSPIRY X. INSPIRY X will also strive to provide reasonable accommodation for a privacy area dependent upon the venue floor plan and available space for a calm and quiet nursing environment.

Ownership of INSPIRY X materials and Third Party Content

Notwithstanding the foregoing, if INSPIRY X expressly provides a license to use any INSPIRY X materials and or content, in a manner that is more permissive than or conflicts with the enclosed restrictions, the license provided by INSPIRY X will be amended to reflect such situation and is not an authority to circumvent the protection of INSPIRY X intellectual property, trademark or copyright.

The INSPIRY X materials and services are protected by copyrights, patents, trademarks, trade secrets, or other intellectual property laws. You understand and agree that these rights in any of the foregoing are valid and protected in all forms, media, and technologies existing now or developed in the future. INSPIRY X retains all rights associated with copyright and trademark of INSPIRY X intellectual properties.

Parking Policy

INSPIRY X BETA venue parking is available on-site for free to INSPIRY X customers and guests. Disabled parking is limited. INSPIRY X encourages the use of drop-off transportation services and car pooling.

Privacy Policy (Event Specific)

INSPIRY X will collect competitor data for the purposes of registration and award of commissions, such data may include but is not limited to; full legal name, daytime contact phone number, email address, mailing address, emergency contact info and in the case of minors, parental or legal guardian identification.

INSPIRY X does not collect website user data from third party ticketing points of sale nor does INSPIRY X have any control over their Data and or Privacy Policies. INSPIRY X does not collect personal data for the purpose of data sales. INSPIRY X will only collect data voluntarily provided by users for official communications required and necessary to conduct business with INSPIRY X.

INSPIRY X will comply with the European General Data Protection Regulation which requires websites to have clear and transparent privacy policy, obtain consent for data collection and provide users with certain rights such as access to the collected information and deletion of their information from INSPIRY X.

INSPIRY X will comply with California Consumer Primary Act (CCPA) requirements to disclose data collection activities, sharing, sale and user opt-out rights. INSPIRY X will not sale collected user data.

INSPIRY X will comply with the Children’s Online Privacy Protection Act (COPPA) which regulates websites’ collection of personal information from children under 13 years of age.

Release Waiver Policy

Public release waivers are required for all INSPIRY X staff, judges, ALL ACCESS badge holders, SCOUT badge holders, contracted support service providers, and volunteers entering the judging room during judging. The release waiver is required due to INSPIRY X photo and video recording for historical documentation and media products created by INSPIRY X or a contracted media service for the purposes of public display.

Security Policy

INSPIRY X is a gun and drug free event. Ensuring the safety of our guests and staff is our top priority. As such, INSPIRY X will employ a series of protective measures both readily visible and not visible to include physical and digital screening and inspection. INSPIRY X will comply with all local and State Law Enforcement policies and orders to safeguard our guests. As a private event INSPIRY X reserves the right to deny entry to any guest refusing to abide by the no guns no drugs policy. All functional real-world weapons to include; realistic replicas, knives, swords, inert munitions are strictly PROHIBITED. All cosplay weapons must be tagged safe by the security checkpoint. All non-lethal self-defense weapons are PROHIBITED. Guests and or INSPIRY X staff, volunteers and service providers who create or contribute to unsafe activities or endanger the safety of themselves and or those around them will be removed from the venue, their ticket, pass or badge regardless of access level or value, will be VOIDED and they will be escorted out of the venue and off the venue private property with or without the assistance of INSPIRY X security and or local law enforcement officers.

Social Media Influencer Policy

INSPIRY X events are designed to be socially interactive. Media passes and registration are not required for social media influencer activities. Social media influencers are subject to all venue policies, INSPIRY X Code of Conduct, guidelines and policies. Social media influencers who intentionally create harassing situations for other guests for the purposes of “Reaction” content will have their entry tickets, passes or badges voided without refund and will be escorted out of the INSPIRY X convention and off the venue private property with or without the assistance of INSPIRY X security and or local Law Enforcement Officers. INSPIRY X staff will not tolerate behavior that is intentionally malicious or designed to harass other customers, guests, venue and or INSPIRY X staff members. INSPIRY X reserves the right to determine if social media influencer activities merit revocation of entry and access to the event and or venue. INSPIRY X serves its customers by fostering a positive event experience and that they be treated with Respect and Dignity.

Ticketing Policy

INSPIRY X is a private event and requires the purchase of an event ticket, pass or badge to gain entry. Tickets, passes or badges will not be sold at the door during the event. Ticketing will be provided by a third party online event hosting service, as such, all errors and or disputes must be coordinated through the ticketing service provider. All tickets, passes and badges are non-refundable 30 days prior to the start date of the event. All tickets, passes and badges are non-transferable and all sales are final. In the event of a weather cancellation all tickets, passes and badges will be refunded by the third party ticketing service provider in accordance with their Use and Terms of Service Agreements. INSPIRY X is financially planned to operate responsibly with consideration to the possibility of event cancellations.

Video & Photo by INSPIRE X Policy

Customers, guests, staff, service providers, artists, vendors and exhibitors of INSPIRY X conventions and special events, grant express permission to INSPIRY X and or any third party media company employed by or sub-contracted to, INSPIRY X, to video record or photograph them for the purpose of advertising INSPIRY X conventions, special events and competitions. Competitors grant INSPIRY X usage rights of any INSPIRY X produced videography and or photography during pre-judging, finals, crowd interactions, and all other INSPIRY X conventions and special events, for the purpose of highlighting winners, stand-out achievements, descriptions of competitor entries, individual reviews of entry submissions, interviews, competitor spotlights and monetized advertisements used for social media. Third party media companies providing media services to INSPIRY X will be clearly marked by way of an official company uniform with appropriate logo and registered media pass visibly displayed at all times. INSPIRY X will make reasonable efforts to notify guests and customers of when and where video recording and photography will take place. Competitors wishing to opt out of INSPIRY X individual or group video reviews of entries must indicate so on the competition registration form. All INSPIRY X prejudging and competitions will be photographed and video recorded.

Vendor & Exhibitor Support

INSPIRY X will strive to provide dedicated support and or assistance as needed to our artists, vendors and exhibitors. Support staff will be comprised of INSPIRY X contracted service providers and volunteers, both types of support personnel are restricted from assuming sales duties if providing relief breaks for artists, vendors and or exhibitors and will only be responsible for temporarily watching over the designated booth. In the event of an emergency the contracted service provider or volunteer will default to their assigned emergency response actions and responsibilities and will abandon the designated booth.

Volunteer Policy

INSPIRY X is not at scale yet to support full-time employment. Our volunteer program is designed to provide high return on value for time spent assisting the INSPIRY X Operations Team. The volunteer program is managed by the INSPIRY X Operations Director and is on an application basis only. The volunteer window will open approximately 60 days prior to the scheduled event date. INSPIRY X is seeking individuals who share our vision to create a safe, fun and inspirational environment for all INSPIRY X guests and team members. Volunteers must be able to lift a minimum of 50 lbs to waist height and be able to stand for periods of one hour at a time. Assignments that are stationary will have seated options available to volunteers along with rotational schedules to different stations. Individuals with physical impairments are still able to volunteer through other assignments that do not require lifting, standing or sustained walking. INSPIRY X is a business, all volunteers are expected to conduct themselves with professionalism, courtesy and respect towards all guests, staff, and other volunteers. INSPIRY X will deliberately strive to create a positive, mutually beneficial, volunteering environment for our volunteers and staff.

INSPIRY X is built on the principles of dignity and respect for all, we will accept no less from our staff and volunteers.

Volunteers will act as our sensors and notify staff of emergent problems or safety situations that could become a hazard to all personnel and guests. Volunteers will check-in with the Volunteer Coordinator one hour prior to the scheduled event start time to receive safety, emergency response, assignment locations, shift schedule and rewards briefings.

Volunteers will be issued a volunteer marking that clearly identifies them as an INSPIRY X volunteer. The marking must be worn while performing volunteering duties and may be removed once the volunteer shift has concluded.

Volunteers who do not adhere to the INSPIRY X Terms of Service policies, Code of Conduct or INSPIRY X principles of respect and dignity will be dismissed from their assignment and their volunteering rewards will be revoked immediately without exception.

Waiver, Severability

INSPIRY X’s failure to enforce any provision of this agreement is not a waiver of INSPIRY X’s right to enforce the Terms of Service or Privacy Policy. If any term or provision of this agreement is held to be invalid, illegal, or unenforceable, the remaining terms and provisions of this agreement will remain in full effect and such invalid, illegal, or unenforceable term or provision will be deemed not to be part of this agreement.

Warranty

ANY CONTENT OR OTHER MATERIALS DOWNLOADED OR OTHERWISE OBTAINED THROUGH THE USE OF THE SERVICES PROVIDED BY INSPIRY X OR ANY VENDOR, ARTIST, EXHIBITOR, OR SUBJECT MATTER EXPERT FEATURED IN THE INSPIRY X BUSINESS CENTER, IS DONE AT YOUR SOLE RISK, AND YOU WILL BE SOLELY RESPONSIBLE FOR ANY DAMAGE THAT RESULTS FROM THE USE OF ANY SUCH MATERIAL OR INFORMATION. FURTHER, PLEASE NOTE THAT NO ADVICE OR INFORMATION, OBTAINED BY YOU THROUGH THE SERVICES, WILL CREATE ANY WARRANTY NOT EXPRESSLY PROVIDED FOR IN THIS AGREEMENT. SOME JURISDICTIONS DO NOT ALLOW THE EXCLUSION OF CERTAIN WARRANTIES.

ADDITIONALLY, INSPIRY X MAKES NO REPRESENTATIONS OR WARRANTIES THAT THE SERVICES ARE APPROPRIATE OR AVAILABLE.

INDEMNITY

You agree to defend, indemnify, and hold harmless INSPIRY X, our offices, members, managers, employers, affiliates, sponsors, partners, artists, exhibitors and vendors. You further agree to follow the outlined mediation & arbitration policies set forth herein. INSPIRY X operates in good faith and will seek peaceful resolution when possible.

Weather Policy

The INSPIRY X BETA event is scheduled to be held in MISSISSIPPI. In the event of unavoidable forecasted severe weather or natural disaster, the event will be cancelled and all ticket, badge and passes will be refunded through the third party event ticketing service and their Terms of Service, Cancellation Policy. A cancellation determination will be made by the INSPIRY X CEO no later than 72 hours from the estimated time of landfall or impact to the venue area. The safety of our guests and staff is non-negotiable and will always drive our decisions to conduct operations at all INSPIRY X conventions and special events.

If you choose to use the INSPIRY X website, you must be 18 years of age or older, or 13 years of age with your parent or legal guardian consent to accept the Terms of Service and Privacy Policy on your behalf. Continued use or purchases made, on the INSPIRY X website affirms your agreement, understanding, acknowledgement and compliance with the INSPIRY X Terms of Service and Privacy Policies set forth herein.

Collected data may also be used for registration of INSPIRY X activities to include commerce, entertainment, solicitation of services, sponsorships, and registration of ALL ACCESS and VIP customers. Collected data will only be maintained for a period of time as deemed necessary to conduct business between INSPIRY X and the information owner.

Data Retention and Deletion: INSPIRY X will only maintain collected data on an as needed basis deemed necessary to conduct business between INSPIRY X and the user. Users may request access to their data and deletion of data directly by submitting a request to the provided contact us section of the INSPIRY X website.

Data Sharing and Disclosure: INSPIRY X will not share collected data with third parties for the purpose of data sales. However, INSPIRY X uses third party service providers for online ticket sales, website hosting & domain services, merchandise fulfillment service providers and other entertainment based services to include social media applications that may require users to provide personal data. INSPIRY X does not regulate or control the Data and Privacy Policies of these third party service providers.

Data Subject Rights: INSPIRY X website users will be provided access to their collected data for the purposes of correction, deletion, and opt-out options. INSPIRY X will make reasonable accommodations to provide and or respond to data provider and or user requests in a timely manner during normal business days and hours as determined by INSPIRY X.
